Privacy Policy

Nido8 (“we,” “our,” or “us”) is a daycare management app developed by Jose R Brito Pomales. This Privacy Policy explains how we collect, use, and protect your information when you use the Nido8 mobile application (“App”).

1. Information We Collect

We collect the following types of information:

  • Account Information: Name, email address, and password when you create an account.
  • Profile Information: Your role (parent or provider), phone number, and profile photo.
  • Child Information:Children’s names, dates of birth, classroom assignments, and emergency contact details (provided by parents or providers).
  • Health & Safety Information:Allergies, dietary restrictions, current medications and dosages, immunization status, the child’s medical provider’s contact information, authorized pickup persons, and other special-care notes — provided by parents and/or providers so the daycare can keep your child safe. This information is treated as sensitive and is only visible to the parent(s) attached to that child and to staff at the child’s daycare center.
  • Learning & Developmental Records:Teacher-entered observations and developmental-domain evaluations (ELOF-aligned ratings, notes, strengths, next steps) tied to your child’s progress.
  • Activity Data: Daily reports, attendance check-in/check-out times, meals, naps, and milestone logs.
  • Photos:Photos uploaded by parents or providers related to children’s activities.
  • Messages: Communications between parents and providers within the App, including any photo or video attachments.
  • Edit History:When a parent or provider edits a child’s care record, we record who made the change and when (an audit trail). We do not record the previous values themselves.
  • Usage Data: App usage patterns, device type, and operating system version for improving the App experience.

2. How We Use Your Information

We use the information collected to:

  • Provide and maintain the App’s core functionality (activity tracking, messaging, attendance).
  • Authenticate users and manage accounts.
  • Enable communication between parents and childcare providers.
  • Send push notifications for important updates (check-ins, messages, daily reports).
  • Improve and optimize the App experience.

3. Data Storage and Security

Your data is stored securely using Google Firebase, which provides industry-standard encryption in transit (TLS/SSL) and at rest. We implement access controls so that:

  • Parents can only access data related to their own children.
  • Providers can only access data within their own daycare center.
  • No user data is publicly accessible.

4. Data Sharing

We do not sell, rent, or share your personal information with third parties for marketing purposes. Your data may be shared only in the following circumstances:

  • Within Your Center: Parents and providers within the same daycare center can see relevant shared information (child activities, attendance, messages).
  • Service Providers: We use Google Firebase for authentication, database, and storage services. Firebase processes data according to Google’s Privacy Policy.
  • Legal Requirements: We may disclose information if required by law or to protect the safety of our users.

5. Children’s Privacy & COPPA

Nido8 is designed for use by adult parents and childcare providers. The App is not intended for direct use by children, and we do not knowingly collect any information directly from a child.

Under the Children’s Online Privacy Protection Act (COPPA), parents and legal guardians have the right to know what personal information is collected about their child under 13, to review that information, and to request its deletion.

  • Parent-provided records:When you, the parent, add your own child in the App, you are providing consent for Nido8 to store the information you entered for the purpose of helping your child’s daycare care for them.
  • Provider-provided records:When your child’s daycare creates a record about your child (because the daycare is the school of record), Nido8 acts under the daycare’s authority and the daycare is responsible for obtaining your in-person enrollment consent in accordance with your local jurisdiction.
  • Your control:You can review any data Nido8 holds about your child by viewing your child’s profile inside the App. To request deletion of a specific child’s record, contact your daycare or email us at the address in section 10.

6. Your Rights

You have the right to:

  • Access your personal data stored in the App.
  • Correct inaccurate information in your profile.
  • Deleteyour account and associated data directly inside the App. Open the “More” tab and tap “Delete account.” Deletion is immediate for your profile and the records you own. See section 7 for the full scope.
  • Export your data upon request by emailing us at the address in section 10. Self-serve data export inside the App is on our roadmap; for now we will produce a CSV/JSON bundle within 30 days of request.

7. Data Retention & Deletion

We retain your data for as long as your account is active. When you tap “Delete account” inside the App:

  • If you are a provider/owner, all centers you own are deleted along with their child records, classrooms, photos, messages, schedules, and audit trails. Your authentication record is removed immediately.
  • If you are a parent, your profile is removed and your user ID is detached from any child records you were attached to. Child records themselves are kept by the daycare center because they are also that center’s records (each child remains owned by their daycare).
  • Deletion is immediate and is not reversible. We do not retain “anonymized” or backup copies after deletion; backups roll over within 30 days as part of Firebase’s standard retention.
  • If your account is closed by us (for example, because you stop paying), your data remains intact for 30 days to give you a chance to reactivate or export. After 30 days it is permanently deleted.

8. Push Notifications

Nido8 may send push notifications for check-in/check-out alerts, new messages, and daily report summaries. You can disable notifications at any time through your device settings.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes through the App or via email. Continued use of the App after changes constitutes acceptance of the updated policy.
